Block out your calendar with appointment times of 8:30, 10:00, 11:30, 1:00, 2:30, and 4:00.

Next, share the calendar with your assistant explaining the following:

You are going to block your time so that you are making calls when your energy is the strongest, at the beginning of the day. You will not be taking other calls during this time and you will follow up on messages and emails near the end of the day once the phoning gets done.

You are going to call everyone on your list and either speak to someone or leave a message that sounds like the following:

Hi, it’s _________ and I’m calling to set up an appointment before the tax deadline ( date ).

I have an appointment time open at 8:30 on Tuesday February 25th or 2:30 on Thursday February 27th.

Please call me at ( number ) or call my assistant, Jane Doe, at ( number ) to schedule your appointment as soon as possible.
