“I’m On Block Time”

“I’m On Block Time” is a sign that I suggested that a client put on their door given that they are going on holidays starting on Friday, July 11th and they are getting interrupted by other in-office financial advisors and walk-in clients.

I suggested sending the following e-mail to the in-office advisors, support staff and reception;

Dear All,

Would you be willing to help me?

I am going on holidays as of Friday evening, July 11th and I am running out of time so I am going on “Block Time” from time to over the next three days.

“Block Time” is where I close my door, turn the ringer off on my phone and turn my e-mail off for a two hour period so that I can give my A Priorities 101% attention.

You may see the following sign on my office door;

I’m On “Block Time” & I Am Available After 3pm – Thank You

This means that I am working on a project and am unavailable even if you knock. If you see the sign, you are welcome to e-mail me or leave a voice mail and I will be happy to get back to you after I am free. If you knock, I will understand that it is a life and death interruption and that you are willing to risk your life by knocking.

I’m also looking for help from Reception in respect to In-Bound Calls and Walk In Clients.

Here is a script that I am inviting you to use;

Client

• Is [ financial advisor ] in?

Reception

• Yes [ financial advisor ] is and they are not available.

• How can I help you? Is it something that needs urgent attention?

Client – Option #1

• No, I just had something that I wanted to talk with [ financial advisor ] about.

Reception

• To serve you the best and so that you don’t have to make another trip, can I schedule a telephone appointment on with you and [ financial advisor ] on [ time/date ] or [ time/date ]? Which one works best for you?

• Thank you and have a great day.

Client – Option #2

• It is important that I talk with [ financial advisor ] about [ insurance / investment / tax ].

Reception

• [ financial advisor ] has an opening at [ time/date ] or [ time/date ], which one is best for you?

( This is a tough love stance to help financial advisors and clients get that you are not running a Financial Advisor Drive-Through and that you work by appointment only. Don’t bend the rules even a little bit or you will not have any. Clients will respect you for your rules and there will be those that are old school that may not get it and it may be time for them to go down the street to the next Financial Advisor Drive-Through. If you don’t respect your boundaries, who will? )

• I will confirm your appointment with [ financial advisor ] and one of us will call you to confirm the details and remind you of any paperwork that may be required.

• Thank you and have a great day.
