EXECUTIVE & PERSONAL ASSISTANT
Leading Advisor, Inc. has partnered with our client to recruit an experienced, honest, detail oriented, focused, exceptional Executive & Personal Assistant who thinks ‘outside the box’ to work closely with the firm’s President at this well-established, client-centric, boutique financial planning firm in downtown Vancouver.
As you continue to read this Executive & Personal Assistant Ad, this may appear to be outside of the standard Executive & Personal Assistant Ad format and that is exactly what we are looking for, someone who is above and beyond the standard Executive & Personal Assistant.

Our client will provide guidelines, but will not manage you to manage our client’s schedule. That will be your job.

You are “Donna” played by Sarah Rafferty on the TV show Suits.
You are a highly organized and capable individual with a minimum of five years of work experience in supporting a top company executive, including business and personal calendar scheduling and management, travel arrangements, event coordination, and marketing support, with an interest in financial services.
You have a passion for excellence, have strong people & telephone skills and have an excellent command of the English language both verbal and written.
You are mature for your years.
You have years of experience working in an entrepreneurial environment and your motto is: “I don’t ask what my employer can do for me; rather I ask, what can I do for my employer?”
You think “outside the box,” create your own solutions and are able to work with minimal supervision.
You have a strong proven track record and can say that: “I used to run the gal/guy at XYZ Corp.”
You have outstanding organizational and time management skills.
You are detailed oriented, highly focused, and have a superior ability to multitask and can work independently or with the team.
You imagine yourself like an air traffic controller and can manage many planes in the air and keep them flying. You realize that it is your job to keep our client flying in the air because, and similar to airline business, when a plane is not in the air, the plane is not making money.
You manage our client’s personal and business life schedule in multiple areas with great attention to detail and understanding your job is to stay ahead of our client, reminding them what needs to be done, not the other way around. Your motto is: “One step ahead, not one step behind.”
When you work with our client, you understand that our client’s life must be as important, if not more important than yours, as you have to “keep our client in the air.”
You don’t let our client go to an appointment without our client being aware where they are going. You will provide our client with accurate and complete written details.
You confirm our client’s appointments with their clients, including where they are going and what they are going to need for the appointment. You make our client’s clients excited about their upcoming meeting.
You can be in our client’s face when you need to be.
This position will require your attention and if you are not assertive, pay close attention to detail, this position is not for you.
You have a solid knowledge of Microsoft Excel, PowerPoint & Word. CRM and QuickBooks knowledge is an asset.
You are willing to go through a hiring process that includes submission of a cover letter and resume, answering two to three questions via video, telephone interview, live interview, completion of Values and Behaviours Assessment, and a reference check.
Key Responsibilities:
- Personal and business calendar management on a daily basis
- Travel arrangements; booking and co-ordination
- Running personal errands
- Administrative assistance
- Investment paperwork processing, inventory tracking, co-ordination of projects
- Client appreciation events management
- Accounts payable support (credit cards expense tracking)
- Marketing support (brochures and website updates, telemarketing programs and
e-newsletter co-ordination) - Compliance support (contracting, licensing and E&O renewals)
This is a full time position, Monday to Friday, 8:30am – 5pm.
Compensation will exceed your expectations. Benefits package is provided after three months.
