Executive Assistant – Brightrock Financial 

Brightrock Financial seeks an exceptional and experienced Executive Assistant to join our Team. We strive to be the best and provide a high level of communication and service to our clients. You are the liaison between our wonderful clients and our Financial Advisory Team.

  • You possess three years of experience in an administrative role supporting a Team.

Specifically you will:

  • Manage our customer relationship database
  • Support and assist our team with client servicing requests such as banking changes, beneficiary changes, address changes
  • Manage reception duties including answering the telephone and directing incoming calls to the appropriate person
  • Call clients to make appointments
  • Follow up on client requests for statements and tax receipts
  • Open and sort incoming mail and couriers; prepare outgoing mail and couriers
  • Manage basic day-to-day mailing and postage, regular post, and courier
  • File client statements and correspondence, keep files organized 
  • Keep the office clean & orderly with light cleaning (i.e., dishes and wipe down)
  • Provide administrative support for the insurance and investment teams as required
  • Process name and address changes with insurance and investment companies
  • Follow up on Canada Revenue Agency Rep ID forms
  • Record information and update client files with notes, update customer database
  • Assist with the implementation of marketing programs, including mail outs and some social media
  • Send emails to clients and format the monthly client newsletter
  • Send client correspondence
  • Update client summary statements
  • Keep detailed notes of all correspondence with clients

Preference will be given to:

  • Applicants who currently hold or have an interest in obtaining the following licenses;
    • Life Insurance (LLQP)
    • Mutual Funds 
    • Canadian Securities Course

To Qualify for this Opportunity, you should possess: 

  • Excellent English skills (verbal and written) with clear and smooth speaking skills
  • Minimum three years of experience working in an office
  • Preference will be given to someone with experience working in a financial advisor’s office or an office where detailed notes and superior communication skills were required
  • Excellent computer skills with Microsoft Outlook, Word, Excel, knowledge of Mail Merge in Word
  • Familiar with using web-based applications and familiar with social media platforms
  • Neat printing
  • Pleasant demeanor to greet clients on the phone and in person
  • Positive attitude and willingness to take direction from all the other employees in the office
  • Very strong organizational skills and the ability to work with minimal supervision
  • A “can-do” attitude and enthusiasm to assist on a wide range of projects

The Benefits:

  • Starting salary of $48,000 to $54,000 based on experience and education
  • Work onsite in our professional business office in Saskatoon in a full-time time position Monday to Friday, 8:30 am to 4:30 pm, with a half-hour lunch break
  • Vacation includes three weeks plus an additional week during Christmas break
  • Participation in group retirement plan after three months of employment
  • Participation in group benefits after three months of employment
  • Professional business dress code is required Monday to Friday
