As Fall approaches and I am renewing my commitment to respect my energy and time, I am posting the following thoughts / instructions because:
- Some clients are sending their Coaching Call Client Prep Form and assignments the day of their coaching call, sometimes 15 minutes before the call is to start. Please send copies of all your assignment work by email or fax no later than the day before our next coaching call.
- Some clients are contacting Laura and Deanne wanting to reschedule their appointments with no notice. Please remember the Appointment Change Policy (in full below) that was included in your Welcome Package, “if you need to reschedule your call, please give us at least 48 hours notice. Appointments that are canceled with less than 48 hours notice will be charged.”
The reason why I’m communicating this with you is to give you the best service possible.
Let me explain it this way; if I have seven coaching calls a day and seven clients fail to send their Coaching Call Client Prep Form and assignments this equals 15 to 20 minutes to review each set of Coaching Call Client Prep Forms and assignments times 7 = 105 – 140 minutes that I don’t have planned in my schedule for the day.
To give you the best service possible, I request that you send copies of all your assignment work by email or fax no later than the day before as I am at my desk at 5:00 am to review Coaching Call Client Prep Forms and assignments.
Ask yourself, how would it feel for you if you put all the energy and time and work into the assignments and if I showed up on the call not having read any of your material.
Thanks for understanding,
- Please send copies of all your assignment work by email or fax no later than the day before our next coaching call – I start my coaching days early with time allotted to go over your file along with you.
- If you email your assignments, please copy them to lreilly @ leadingadvisor.com as a safeguard to ensure that your assignments are printed to your file and available to me when I prepare for your call. This makes it easier for me with the volume of email that is coming in during a coaching day.
- With respect to the Coaching Call Client Prep Form and your current assignment work, if your assignment work comes in the day of the call I don’t have the time to do a proper review of your Coaching Call Client Prep Form and your current assignment work in advance of our call.
- When communicating with Laura please copy me in your emails so that I am included.
Appointment Change Policy
Laura will work with you to schedule your Coaching Calls – and this will always be done well in advance.
We try to keep Client Coaching Calls to the same day and time, as this routine makes it easier for the client and the coach.
Keep in mind that due to travel and holidays, both for the client and the coach, changes in scheduling are sometimes required.
Appointment Changes: On Monday, please make sure that you have your coaching appointment scheduled in your calendar if it is a coaching call week.
Does the appointment fit your schedule for the week? If not, please re-schedule your coaching appointment on Monday with Laura at lreilly @ leadingadvisor.com or 250-248-6012 / 1-877-248-6012.
If you need to reschedule your call, please give us at least a 48 hours notice.
Appointments that are cancelled with less than 48 hours notice will be charged.
If you have a family or medical emergency then you will not be charged.
If you have to cancel our appointment because you choose to schedule time with your clients instead, please calculate the cost of your missed coaching appointment in your budget or cost of sale – in other words, if you are cancelling an appointment with us to make an appointment with a client then please ensure that you charge enough for the client appointment to cover the cost of the missed appointment that you cancelled with us.
Please note that the clients that have the highest income levels, income levels of $500,000 – $2,000,000 are the clients that consistently make their appointments on time, time after time.
Thank you for understanding and we look forward to working with you to meet and exceed your goals for 2012 and beyond.
